Confidentiality

All of the data collected must be treated as highly confidential and must only be used in the specific ways described below.

Type of Data

The data will be stored on computer in two different types of sheet.

The subject sheet will give past and current performance for a particular subject. There will be a different sheet for each subject.

The curriculum sheet will give the current performance across the curriculum.

Access

Different members of staff will have access to data as follows:

Subject teachers - to the subject and curriculum sheet for their particular class

Group Tutors - to the curriculum sheet for their tutor group

Head of Year - to all subject sheets and the curriculum sheet for students in their year group

Head of Dept - to the subject and curriculum sheet for all the students who study that subject

Learning Support - to all the subject sheets and the curriculum sheet of those students on the special needs register.

Disclosure of Grades

Key Stage 3

Grades, either baseline, current or past, may not be mentioned to students under any circumstances.

Key Stage 4/5

Grades may be used with an individual student on a one to one basis where a member of staff feels it may motivate the student.

Parents

Parents are entitled to have access to the data about their child. Any requests for this information should be passed to the Head of Year.

Use of the Data

Subject Teacher / Head of Department

A Class teacher may discuss on a one-to-one basis a student’s current performance in that subject as compared with the student’s historical record in that subject or with their expected level of performance as indicated by the baseline score.

A subject teacher should not refer to the performance of the student in any other subject. The actual grades in KS3 should not be disclosed under any circumstances. The information should not be used to compare one student with another.

Head of Year / Group Tutor / Learning Support

A Head of Year may discuss on a one-to-one basis a student’s current performance across the curriculum compared with their historical record and with their baseline assessment. The Head of Year may involve the Group Tutor and/or the Learning Support Department in the discussion. Group Tutors or the Learning Support Department must not initiate a discussion without the knowledge of the Head of Year.

The actual grades at KS3 must not be disclosed under any circumstances.

The information should not be used to compare one student with another.
